FleetCheck Customer Event 2026 – Terms and Conditions

1. Registration and attendance

1.1 Registration is required to attend this event. Places are limited and will be allocated on a first-come, first-served basis, with a maximum of 2 attendees per company. FleetCheck reserves the right to refuse or cancel any registration.

1.2 Attendees must notify FleetCheck of any changes to their attendance status as soon as possible.

1.3 Registered attendees who fail to attend without prior notice may not be prioritised for future FleetCheck events.

1.4 This is a complimentary event. There is no charge for registration or attendance.

2. Event changes and cancellation

2.1 FleetCheck reserves the right to modify the event programme, speakers, timings, or venue if circumstances require.

2.2 In the unlikely event of cancellation, FleetCheck will notify registered attendees as soon as reasonably possible. FleetCheck accepts no liability for any costs incurred by attendees (including travel or accommodation) in the event of cancellation or changes to the event.

2.3 Attendees may cancel their registration by notifying FleetCheck in writing. Cancellations received less than 14 days before the event may result in charges if costs have already been incurred on the attendee’s behalf.

2.4 Neither party shall be liable for failure or delay in performing obligations where that failure results from circumstances beyond reasonable control, provided the affected party notifies the other promptly and takes reasonable steps to mitigate the effects.

3. Photography, filming, and media consent

3.1 Photography and/or filming may take place during the event for marketing, promotional, and internal purposes.

3.2 FleetCheck may photograph, film, and record attendees during the event for marketing, promotional, and internal purposes. If you consent, FleetCheck may use such material in its marketing materials, website, social media, and other promotional activities. You may withdraw your consent at any time by contacting Marketing at marketing@fleetcheck.co.uk, though this will not affect any use of material that has already taken place.

3.3 Attendees may share content from the event on social media but should be respectful of other attendees’ privacy and seek permission before posting identifiable images of others.

4. Speaker terms

This clause 4 is for customer speakers only:

4.1 Speakers agree to deliver their presentation at the agreed time and to the best of their ability.

4.2 Speakers retain ownership of their intellectual property but agree that FleetCheck may use quotes, case study information, and presentation materials in future marketing materials, subject to the speaker’s prior approval.

4.3 FleetCheck will provide reasonable support to help speakers prepare their presentations, including assistance with slide decks and technical setup.

4.4 Speakers must not use their presentation to promote competing products or services.

5. Food, beverages, and dietary requirements

5.1 Complimentary food and beverages will be provided, including gluten-free and vegetarian/vegan options.

5.2 Attendees must notify FleetCheck of any dietary requirements or allergies at the time of registration. While FleetCheck will make reasonable efforts to accommodate dietary needs, we cannot guarantee that all requirements can be met.

5.3 FleetCheck will take reasonable care to ensure that food and beverages provided at the event are safe and that allergen information is available on request. However, while every reasonable effort will be made to accommodate dietary requirements and allergen needs notified at registration, FleetCheck cannot guarantee that food prepared or served at the venue will be entirely free from specific allergens. Attendees with severe allergies or medical dietary requirements are encouraged to take personal precautions and, if in doubt, to seek clarification from event staff before consuming any food or drink.

5.4 Alcoholic beverages will be served responsibly and in accordance with the venue’s licensing conditions. FleetCheck reserves the right to limit or withdraw alcohol service to any attendee. Attendees are reminded to drink responsibly and to make appropriate arrangements for their onward travel. FleetCheck accepts no liability for any incidents arising from excessive alcohol consumption.

6. Conduct and behaviour

6.1 Attendees are expected to always conduct themselves professionally and respectfully.

6.2 FleetCheck reserves the right to refuse entry to, or remove from the event, any attendee whose behaviour is deemed inappropriate, disruptive, or offensive.

6.3 Any form of harassment, discrimination, or aggressive behaviour will not be tolerated.

7. Health, safety, and liability

7.1 Attendees attend the event at their own risk. FleetCheck accepts no liability for any personal injury, loss, or damage to property unless caused by FleetCheck’s negligence.

7.2 Attendees must comply with the venue’s health and safety requirements and follow instructions from FleetCheck staff and venue personnel.

7.3 In the event of an emergency, attendees must follow evacuation procedures as directed.

7.4 FleetCheck is not responsible for any loss or damage to personal belongings brought to the event.

7.5 FleetCheck is committed to making the event as accessible and inclusive as reasonably practicable. Attendees who have specific accessibility requirements, disabilities, or additional needs are encouraged to notify us in advance of the event so that we can discuss any reasonable adjustments which can be considered with the venue personnel.

7.6 The venue may make complimentary WiFi available to attendees during the event. The WiFi is provided for general convenience only and is not guaranteed to be secure, uninterrupted, or free from errors. Attendees acknowledge and agree that use of the Wi‑Fi is entirely at their own risk.

8. Parking

8.1 Free on-site parking is available at the venue. You must retain your parking ticket for validation. FleetCheck are not responsible for any loss of ticket.

8.2 Vehicles are parked entirely at the owner’s risk. FleetCheck and the venue accept no responsibility for any damage to or theft from vehicles.

9. Data protection

9.1 Personal information collected during registration will be processed in accordance with FleetCheck’s Privacy Policy.

9.2 FleetCheck would like to keep you informed about future events and services. We will only contact you for marketing purposes where you have given your explicit consent to do so at the point of registration. You can withdraw your consent at any time by contacting us at marketing@fleetcheck.co.uk or by clicking the unsubscribe link in any marketing communication.

9.3 You may opt out of communications at any time by contacting FleetCheck or unsubscribing.

10. Intellectual property

10.1 All content presented at the event, including presentations by FleetCheck staff, remains the intellectual property of FleetCheck or the respective presenters.

10.2 Attendees may take notes for personal use but must not reproduce or distribute presentation materials without permission.

11. General terms

11.1 These Terms and Conditions are governed by the laws of England and Wales.

11.2 FleetCheck reserves the right to amend these Terms and Conditions at any time. The latest version will be available on request.

11.3 If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force.
