Specialist geotechnical construction company Spencer Quantum has adopted the FleetCheck Driver app to manage its defect reporting, replacing existing paper and WhatsApp-based processes.
The business, based in Ceredigion, operates 57 vans and HGVs, and administration manager Laura Thompson explained that a new solution had been required because of increasing compliance demands.
“We needed a more uniform way of collating driver and vehicle information, being able to record and report on it more effectively. Drivers would use our work WhatsApp group to notify us about defects but messages would get lost. It was hard to keep track when it came to recording vehicle details, tracing driver information, managing defects promptly, and ensuring nothing was overlooked.
“After evaluating several systems, we chose FleetCheck Driver because it was simple to use and wasn’t overcomplicated based on our needs. Also, it has excellent reporting facilities, which is unusual for this type of product.”
By streamlining processes using the app, Spencer Quantum has reduced unexpected workshop jobs by several days because defects are now easier to report and less likely to cause serious unexpected off-road incidents. Also, there are significant daily savings in administration time.
“Before, vans would come in for a service or MOT, and what should have been a two-hour job could take half a day due to missed defects. Now our workshop is more aware and can allocate time to handle what needs fixing.”
Customisable checksheets have allowed Laura to tailor FleetCheck Driver for the company’s specific needs, including adding relevant fields for their HGVs and removing unnecessary ones. Additionally, they can now share important documents and policies directly through the app, so drivers can stay up to date with compliance requirements.
“The app has been well received by our drivers. It’s easier to use than they were expecting. Once the reports are set up, they just have to click on a button or take a photo, then submit the form. They like the immediacy of being able to report something as soon as it happens.”
FleetCheck Driver, introduced in 2017, is designed to streamline legally required vehicle inspection processes for fleets, removing the need for manual paper trails while also providing additional features such as fit to drive declarations, fuel purchase details and incident reporting.
